Vendor Agreement(Required)

The individual signing this contract must carefully review the following classifications to determine the appropriate category for participation:

Arts and Crafts Artisan
-Defined as a crafter who sells items that are at least 80% handmade by the artisan.
-Absolutely no commercial or mass-produced items are permitted.
– Vendors are responsible for handling their own sales and transactions.

Commercial Vendor
– Defined as a business promoting its services or products through informational materials and giveaways only.
– No direct sales of products or services are permitted at the event.
– Vendors may schedule future service appointments with customers.

Non-Profit Organizations
– Non-profits may sell items or collect donations on behalf of their organization.
– A current 501(c)(3) determination letter must be provided prior to participation.
– Vendors are responsible for managing their own sales and transactions.

Yard Sale Participants
– Vendors are responsible for pricing and selling their own items.
– Event organizers will not conduct sales on behalf of participants.
– Any unsold items must be removed from the premises at the end of the event. Event organizers will not dispose of leftover items.

Booth Rental Terms
– Each booth space is approximately 10’x10’ and is available for a rental fee of $40.00 per day.
– Spaces are assigned on a first-come, first-served basis upon receipt of payment.

Payments may be submitted via:
– Mail: SCSM, P.O. Box 643, Warrenton, VA 20188
– PayPal: To submit payment online.

Marketing & Promotion – SCSM will actively promote the event through multiple channels, including:
– Local signage
– Garage and yard sale websites
– Flyers distributed throughout the community
– Facebook, Instagram, and the SCSM website
– Local NextDoor apps and newspapers

Liability & Indemnification
– Vendors are solely responsible for the security and condition of their products, property, and personal safety.
– SCSM is not liable for any damage, theft, or injury sustained by vendors, employees, guests, or customers during the event.

Event Cancellation & Refund Policy
– In the event of cancellation, the alternate event date will be June 14th, 2025.
– No refunds will be issued for any reason, including vendor withdrawal.

Vendor Responsibilities – Signage & Merchandise:
– Booth signs or decorations must not extend beyond the 10’x10’ booth dimensions.
– All merchandise must be clearly priced and labeled.
– Vendors must conduct business within their assigned booth space.

Set-Up & Event Hours:
– Vendors must arrive by 8:00 AM for set-up.
– The event will run from 9:00 AM to 3:00 PM.
– Vendors are required to remain on-site until 3:00 PM.
– No vehicles or trailers are allowed inside the tent area at any time.
– Organizers reserve the right to end the event early due to inclement weather or emergency conditions.

Right to Refuse Participation:
SCSM reserves the right to decline vendor participation at its sole discretion.

By signing this contract, the vendor (individual/business listed above) agrees to abide by all terms and conditions stated herein.
